Project/Task Organizer Like Asana

To make this an all-in-one platform it would be great to have a "Projects" tab that allows us to create task, assign those to specific users, and restrict access to those users. For example, we could create an onboarding section and auto-assign those based on user type (Client, Account Manager, Sales, etc.). We could also have tasks that get assigned to the client. The client could login and see what needs to be done, what's being worked on, etc. This could also be added to the daily/weekly reports that go to the client so they are kept in the loop on things.

Here's my wishlist - I'm currently using Trello so would be looking to replace that.
- Customisable Kanban-style board showing various statuses of tasks.
- Ability to tag people on a task, with alerts sent to those tagged.
- Ability to add text, images etc to tasks.
- Workflows to support when the status of a task changes.

Here are a list of the must-have features I would suggest:
- Location admins should be able to submit tasks for the AGENCY
- Time Tracking for tasks (with easy invoicing through GHL payments)
- Project templates with checklists (main tasks and sub tasks) that can be assigned to a location after a purchase is made or new location is created as an Agency selling SaaS. So projects can be created as a template and assigned as needed with many main tasks and sub tasks already present and assigned to a specific user.

Hi there, thank you for looking into improving HL Tasks!
Here are my top must-have features to manage projects effectively:
- Attachments – Being able to upload and view files directly within a task is essential for collaboration.
- Checklists – Helps break down tasks into actionable subtasks and improves clarity.
- Kanban View – A visual board for task management is incredibly helpful for tracking progress and workflows.
- Optional Due Dates – Sometimes tasks don’t need a strict deadline, and it would be great to have the flexibility to leave due dates empty.
Current workarounds:
We’re currently using external tools like Trello or ClickUp for Kanban and checklists, and Google Drive for attachments. It would be amazing to have everything integrated within HL Tasks to streamline our process.
Thanks again for actively listening to the community really looking forward to these improvements!

I like that you're doing this. While at it. It will be extremely helpful that we can update, remove, complete or reassign tasks and other such actions within the Workflows. Right now, we can only add a task, but if for example a contact moves in the pipeline, I cannot remove the old outdated task (if it wasn't completed), this will also be extremely helpful in other scenarios.
Isn't this also related to improving the Task Management System within GHL? You don't need to become perfect, I feel we're already getting close to a simple yet effective process, so long as we can have the actions in the workflow we mentioned above, we will already have so much more leverage

While you're at it why not do video streaming to compete with netflix and build a search engine to compete with Google?
I'm sorry, but GHL going in even more directions than the 1000 they're already going in, is hilarious. Taking on Monday.com or Clickup? GHL is being propped up by 10,000 sales reps who want more bullet items in their sales pitches, and come here and vote ad nauseum... while giving the end customer crap features when compared to best-in-class... but they don't care --- they got the sale!!!!!!!!!!!!!
A sales-rep led company does work... but a little balance is in order.
At some point GHL needs to be the adult in the room, and make quality a higher priority!
Sales reps use facts to spread lies about what GHL can do, or will one day do. It is happening at scale. This is capitalism in 2025, so I get it... GHL is just doing what everybody is doing... Sell the hell out of MVPs and potential future features, and let the customers do 95% of the QA, and complain to sales reps and sales reps waste their time in boards asking for standard, basic features for phone systems, live chat, invoices, estimates, pipelines, web-builders, social posting, review solicitation, ai bots, etc... which GHL knew about before the sales rep posted "their idea."
With a very good commission model and target market (marketing agencies) and by selling/hyping the hell out of MVPs GHL has made a lot of money. Good job... you got LOTS OF MONEY. But i couldn't sleep at night with this business model, unless I had QA, UX best-practices, and rapid implementation of the basics as top priorities after the MVP release.
GHL, have more integrity and sure up your current features, and YOUR UX first! A little pride in GHL would mean doubling the UX team.
Go deeper on the features you already have! On a chrome account and sso... monday.com is literally one click away. Same as new project management features would be in GHL... one click away. Why not leverage that one-click experience with an existing monday.com integration?
this said, GHL needs to imitate Monday.com's spreadsheet CRM model with the current features. 10X better ux, and far more intuitive. The information density on screen is 3X GHL's massive, complex, confusing contact records.
This is my last book I'll write in these boards. I hate where capitalism is and where its trending. Jiminy Cricket is dead.

Pallavi Kothari I am asking you to look at how massive an undertaking this is so you can realize you need to slow down until the other features are complete. Not you personally; you HighLevel. There are core functions that still don't work right and require work arounds or more clicks than they should. Internationalization still has a long ways to go.

I feel the task system is already very useful, maybe a kanban board with the statuses would be alright, even connect the tasks to opportunities. I don't think you need to focus on becoming ClickUp or anything like that.

David Azuaje, in case there is any confusion, I am not a representative or employee of HighLevel. I am just a user who cares very much about improving the current system rather than launching more skateboards.

Thanks for the question >
Mine would be the Kanban style baords but also allowing for sub tasks be allowed for groupings of like tasks vs 30 individual tasks in Pipeline style board.
Option to Share the board with view only and restricted access boards via a link and/or create a custom menu option for them to review their project with us in their own GHL account.
Multiple Project Tabs: one for the developer and one for the client. The client only needs to see what's relevant to them and not see all the secret sauce.
Trigger options in automation section to fire notifications, timed events.
Archiving the project attached to the client record. Possibly sits in the RHS panel of a clients' record.
Allowing multiple projects per client.
